Any reference in this policy to ‘we’, ‘us’, ‘our’, or to the ‘Services’ is a reference to that entity and to the CentEducation app and website.

Additionally, our platform generates detailed reports and statistics, enhancing the decision-making process for school administrators. We also provide dedicated mobile applications for guardians and students, promoting transparency and ease of access to educational information. At CentEducation, safeguarding the privacy of our users is paramount. 1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • phone numbers
  • email addresses
  • usernames
  • passwords
  • contact preferences
  • contact or authentication data
  • profile image
Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:
  • date of birth and, where a school records it, a student's guardian and household contact details
  • student educational records — enrolment details, attendance, examination marks and results, and fee and payment history — which are entered into CentEducation by the school
Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
  • Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.
  • Push notification tokens. When you enable notifications, the platform's push service (Google Firebase Cloud Messaging on Android) issues a device token that we store so that we can deliver notices, attendance alerts, and billing reminders to your device. These tokens are never used for advertising and are deleted when you sign out or uninstall the app.
  • Camera and photo library. With your permission, so that you can set or update your profile photo. We access these only at the moment you choose an image, and the image is stored solely as your profile picture.
  • Device and diagnostic data. Device model, operating system and app version, language, approximate region, and crash or error logs, collected automatically so that we can keep the Services stable and secure and diagnose faults. We do not use this data for advertising and we do not sell it.
This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Google API

Our use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.


2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
  • To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
  • To deliver the school services you or your school signed up for. We process enrolment, attendance, examination, timetable, and fee and payment information so that schools can run these processes and so that students, guardians, and staff can see the records that relate to them.
  • To send you operational notices and reminders. We use push notifications, and where a school has enabled it SMS, to send notices, attendance alerts, examination and result updates, and billing reminders. These are service messages, not marketing.
  • To keep the Services secure and prevent abuse. We process login, device, and diagnostic information to authenticate users, detect and investigate unauthorised access, and protect accounts and records.
  • To diagnose faults and improve the Services. We use crash and error reports and aggregated usage information to fix problems and improve reliability and usability.
  • To respond to your requests and provide support. We process the information in your messages so that we can answer questions from you or from your school.
  • To comply with our legal obligations. We may process information where necessary to comply with applicable law or to establish, exercise, or defend legal claims.


3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We may share information in specific situations described in this section and/or with the following third parties.

We may need to share your personal information in the following situations:
  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Service providers. We share limited personal information with vendors that host and operate the Services on our behalf, namely cloud hosting and content delivery for the CentEducation web and mobile back end, push notification delivery (Google Firebase Cloud Messaging), and crash and error diagnostics. These providers process personal information only on our instructions, under contract, and are not permitted to use it for their own purposes.
  • Your school or institution. CentEducation is licensed to schools and colleges. If your account was created by a school, that school and the staff it authorises can see the account and academic, attendance, and billing records associated with it. The school decides who within it holds that access.
  • Legal obligations. We may disclose personal information where we are required to do so by applicable law, regulation, or a valid request from a public authority.
  • No sale of personal information and no advertising. We do not sell or rent personal information, we do not share it with data brokers, and we do not use it for advertising or allow third parties to use it for advertising or marketing profiling.

4. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

5. HOW DO WE KEEP YOUR INFORMATION SAFE?

In Short: We aim to protect your personal information through a system of organisational and technical security measures.

We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

Where your information is stored. CentEducation is operated from Nepal and hosted on servers and content delivery infrastructure operated by our hosting providers, which may be located outside Nepal. Push notifications are delivered through Google Firebase Cloud Messaging. Wherever your information is processed, it remains protected by the measures described in this notice and by contractual terms with those providers.


6. WHAT ARE YOUR PRIVACY RIGHTS?

In Short:  You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.

Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below.

However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Account Information

If you would at any time like to review or change the information in your account or terminate your account, you can:
  • delete your account yourself from within the CentEducation mobile app, under Settings → Delete my account; or
  • email us at [email protected], or contact your school's CentEducation administrator. See Deleting your account and your data in section 11 for how a deletion request is handled and how long it takes.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

7. DO WE COLLECT INFORMATION FROM MINORS?

In Short: Yes. CentEducation is a school system, so it holds information about students who may be under 18. That information is controlled by the school, and we never use it for advertising or profiling.

CentEducation is licensed to schools and colleges, which use it to keep the records of the students enrolled with them. Those students may be under 18. Student accounts are created and issued by the school, not by us, and a school issues them under its own authority and in accordance with the consent it obtains from parents or guardians under the law that applies to it. We act on the school's instructions in respect of that information.

What this means in practice:
  • We do not knowingly collect personal information directly from a child other than through an account issued to them by their school, or through an account held by their parent or guardian.
  • We do not show advertising of any kind in CentEducation, we do not use third-party advertising or analytics networks that build profiles of users, and we never sell or share personal information with data brokers.
  • We do not use a student's information to build a commercial profile of them, to target them with marketing, or for any purpose other than providing the school system described in this notice.
  • Push notifications sent to a student account are limited to service messages from their school, such as notices, attendance, examination results, and fee reminders.
  • Access to a student's records is limited to that student, their parent or guardian where the school links the accounts, and the staff the school authorises.

If you are a parent or guardian and you believe your child has provided us with personal information without the involvement of their school, or you would like that information reviewed, corrected, or removed, contact us at [email protected] or speak to your school's CentEducation administrator. Where a request concerns records held by a school, we will pass it to the school, act on the school's instructions, and confirm the outcome to you. If we learn that we have collected personal information from a child outside the arrangement described above, we will deactivate the account and take reasonable measures to promptly delete that information from our records.


8. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

9. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.

11. HOW CAN YOU REVIEW, UPDATE, OR DELETE THE DATA WE COLLECT FROM YOU?

Based on the applicable laws of your country, you may have the right to request access to the personal information we collect from you, details about how we have processed it, correct inaccuracies, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law. To request to review, update, or delete your personal information, please fill out and submit a data subject access request.

Deleting your account and your data

You can ask us to delete your CentEducation account and the personal information held against it at any time, whether you use the mobile app or the web application. To make a request, either:
  • email [email protected] from the address registered on your account, with the subject line Account Deletion Request, telling us your full name, your role (guardian, student, or staff), and the name of your school; or
  • ask your school's CentEducation administrator to raise the request on your behalf.
We acknowledge every request within 7 days and complete it within 30 days of confirming that the request comes from the account holder. There is no charge for this.

What we delete. Your name, contact details, username and login credentials, profile photo, contact preferences, and any push notification tokens are erased from our active systems and the account is closed.

What we may keep, and why. Academic and financial records — enrolment history, examination marks and results, attendance, and fee and payment ledgers — belong to your school, which may be required to keep them to meet its own legal, accounting, and audit obligations. Where the school instructs us to retain such records, we keep them only for as long as that obligation lasts and then delete or anonymise them. We may also keep the minimum information needed to prevent fraud, resolve disputes, and enforce our legal terms.

Backups. Residual copies in our encrypted backup archives are removed on the normal backup rotation, within 90 days of deletion, and are not used for any other purpose in the meantime.

Where your account was created by a school, that school decides what happens to the records it holds in CentEducation and we act on its instructions. In that case we pass your request to the school, and confirm the outcome to you.
